Terms & Conditions
1. Booking & Payment
Bookings may be made via the online booking form on each tour page or by email enquiry.
Once availability is confirmed, a non-refundable deposit is required to secure your place. Deposit amounts vary by tour and will be clearly stated at the time of booking.
Your booking is only confirmed once payment has been received.
The remaining balance is due 8 weeks (60 days) prior to departure.
If booking within 8 weeks of departure, full payment is required immediately.
Additional services (Bicycle rental, single room supplements, extra transfers, or insurance add-ons) will be invoiced separately where applicable.
2. Cancellation by You
Cancellations must be notified in writing via email to info@bicycleandbeyond.com.
Cancellation charges:
More than 30 days before departure: The deposit is forfeited.
30 days or less before departure: 100% of the tour cost is forfeited.
Deposits are non-refundable as they are used to secure accommodation, vehicles, staffing, and third-party services.
We strongly recommend comprehensive travel insurance that includes cancellation coverage.
3. Cancellation by Bicycle and Beyond
We will not cancel a confirmed booking unless:
Circumstances beyond our control occur (Force Majeure), such as natural disasters, extreme weather, or public health emergencies.
The minimum number of participants required for a guided tour is not met.
If minimum numbers are not reached, we will notify you no later than 30 days prior to departure.
In such cases, you will be offered a transfer to another date or a full refund.
4. Guided vs. Self-Guided Tours
Guided Tours: Participants must comply with the instructions of the tour leader. Their authority is final regarding safety, route decisions, and group management.
Self-Guided Tours: We provide routes and logistics, but riders are responsible for their own navigation, pacing, and safety decisions. We are not responsible for navigation errors or route deviations.
5. Itinerary Flexibility
All itineraries operate in dynamic environments. Changes may be required due to weather, road closures, or ferry schedule changes.
By booking, you accept reasonable itinerary modifications. No refunds are provided for unused services or early departures.
6. Travel Insurance (Mandatory)
Comprehensive travel insurance is mandatory. Your policy must cover cycling activities, medical expenses, emergency evacuation, and trip cancellation.
Failure to obtain adequate insurance may result in refusal to participate without a refund.
7. Health & Fitness
Multi-day cycling tours require a reasonable level of fitness. Participants must be accustomed to sustained physical activity and disclose relevant medical conditions at the time of booking.
Participation is at your own risk. We are not liable for injuries resulting from physical exertion or cycling accidents.
8. Local Laws & Conduct
Participants must comply with all local laws and road regulations.
Illegal behavior or conduct that endangers others may result in immediate removal from the tour without a refund.
9. Flights & Transfers
International flights are not included in tour pricing.
Airport transfers are included only on official tour start/end dates where specified. We are not responsible for airline delays or missed connections.
10. Responsibility & Liability
By booking, you agree to indemnify Bicycle and Beyond Adventures Sdn Bhd against claims arising from personal injury, death, or loss of property.
We are not liable for the theft of bicycles (hired or private) or mechanical failures of privately owned equipment.
11. Pricing
Prices are confirmed at the time of booking. In rare cases, prices may be adjusted due to significant exchange rate fluctuations (10% or more).
If the increase exceeds 15%, you may cancel for a full refund.
12. Complaints
Issues must be reported to the tour leader or operations team immediately to allow for resolution.
If unresolved, written notice must be provided within 21 days of tour completion.
13. Severability
If any part of these terms is deemed unenforceable, the remainder shall remain valid and enforceable.
